2007. The points below will help you understand the reasons behind
the changes you will see in Gregg College
Keyboarding & Document Processing—Microsoft Office Word 2007
Update, and in GDP:

Word 2003 Style Set uses
conventional document formats. Word 2007 initially uses a default
style
set that
includes significant changes in line spacing, spacing after
paragraphs, margins, and fonts. Word 2007's default multiple line spacing and
the extra spacing after paragraphs do not conform to
conventional
document formats presented in standard style manuals such as The
Gregg Reference Manual, the APA Publications Manual,
the MLA Style Manual, or the Chicago Manual of Style.
Microsoft added the Word 2003 Style Set in its final release
after receiving negative feedback from beta testers regarding
the default Word 2007 Style Set. |

Word 2003 Style Set is
the most efficient approach. The use of the Word 2003
Style Set is clearly the most efficient way to streamline the
production of mailable documents that conform to conventional
styles. In
the Word Manual, students are taught how to make this one-time style
change along with other relevant changes to work quickly and
efficiently and maximize productivity. Without this simple
change in style set, students would be forced to take a series of
intricate, time-consuming steps to manually adjust line spacing and paragraph
spacing to produce mailable documents with standard formatting.

Word 2003 Style Set
Default—set it once and forget it. Remember that many settings used in a Word 2007 document remain in
effect for any documents created thereafter. So
essentially, Word defaults can and do change with
the click of a mouse. It is therefore realistic to assume
default Word settings in the workplace are completely
unpredictable since workstations are shared and default settings
and in-house styles vary.
When students complete the practice exercises in the Word Manual and
the document processing jobs in the textbook, they are well
prepared to change relevant Word settings in the workplace.

files. One has been typed using the Word 2007 Style Set defaults and the
same document has been typed again using the Word 2003 Style Set used in GDP.
When you compare these documents, you
will quickly see why the Word 2003 Style Set
is preferable:
GDP automatically changes the
default style set from Word 2007 to Word
2003. In the Getting Started section
of the Word Manual, students learn to change the default style set
so that when they use Word in the workplace outside of GDP, they are prepared
to make the same one-time style set change. The chart below
illustrates the differences in settings:

In Word 2007, the default font
changed from Times New Roman 12 (a serif font) to Calibri (a sans
serif font similar to Arial). The default left and right margins
changed from 1.25 inches to 1 inch. The line spacing changed from
single to multiple and the spacing after paragraphs, from 0 pt. to
10 pt. All of these changes have major
implications for the appearance of model documents including line
endings and page breaks and also affect some of the basic formatting
steps. For example, when students type letters, memos, and reports,
their first step will now be to press Enter 5 times rather than 6
times to begin the document 2 inches from the
top of the page. Changes in content were made as
needed to resolve any disparities. Templates, e-mail, and Web page
features also have also changed significantly, and new steps reflect those changes.
Note: To change the
default Style Set manually, do this:
1. From the Home tab, in the Styles group, click
Change Styles.
2. From the drop-down list, click Style Set, Word
2003 (or click the desired style set).
3. From the Home tab, in the Styles group, click
Change Styles.
4. From the drop-down list, click Set as Default.
GDP also automatically changes some AutoCorrect options
similar to a workplace environment in which these settings,
once changed, become new default settings: the first letter of sentences will not be automatically
capitalized; double hyphens will be changed to a solid dash; and
Internet and network paths will not be automatically changed to
hyperlinks. In the Getting Started section of the Word Manual, students
learn to make these same changes so they are prepared to use Word in
the workplace outside of GDP.

Word 2007 Online Reference Manual. The
online Word 2007 Reference Manual accessed via GDP's Reference
Manual link is currently under construction. Direct your students to
use the Reference Manual found in the front of their text and Word
Manual as an alternative. Or they can use this file, which has
interactive callouts similar to the ones found in the online manual.

You might wish to use this file as a supplemental electronic handout
for your students. If you wish to have your students access this
handout directly from GDP, do this:
- In GDP Home, click Options,
Settings, or in GDP Campus in Instructor Management, click
Settings, Instructor Settings tab.
- In the URL to be accessed when the Web
button is clicked in GDP box, copy and paste in this URL:
http://gdpkeyboarding.com/Word_2007_Online_Reference_Manual.doc
and click Save.

- Open GDP, click the Web button, and
the file should open in Word.
Note: If you have trouble launching the
manual directly from GDP, check your browser. Internet Explorer 6
seems to have a little difficulty with launching the manual directly
from GDP, so you might wish to upgrade to Internet Explorer 7. The
download works fine with Firefox and Safari. |

On occasion, we do
receive requests from instructors who wish to introduce their
students to the default Word 2007 settings in GDP. Naturally, there
are many implications for document formatting adjustments. If you
are interested in teaching your students how to format a business
report, letter, and table but wish to use the default Word 2007
settings, open the files below for detailed steps and formatting
adjustments you will need to make. Because GDP does not score
formatting (including hard returns or the use of Shift+
Enter), the scoring of
your students’ documents should not be affected if you wish to
switch to the Word 2007 Style Set and use the formatting guidelines
suggested in the files below.
